It's important that you know without doubt that any new or existing drivers, whether in a company vehicle, a ‘grey fleet’ vehicle (where employees use their own vehicle on company business) or any authorised spouses are entitled to drive and their licences are current and valid to the type of vehicle they are driving.
In the past, you may have obtained a “copy for the file”. Not anymore. A copy of a driving licence is just that, a copy. The only way to fully establish if a driver is legal to drive is to check that licence with the DVLA. Your obligation here extends to ‘all authorized drivers’ and would include spouses and subcontractors. A full DVLA check will tell you not only if that person is entitled to drive but also a history of endorsements and points obtained so that you can assess their suitability for a new or existing role.
